There is a common misconception that Enterprise Resource Planning (ERP) solutions are designed only for big businesses. Ten years ago I would have agreed with that, but advancements over the years have greatly increased the availability of technology for any size business. In fact, there are numerous reasons why small businesses can, and should, adopt an ERP solution to help them run smoothly and efficiently.

Often, small businesses feel overwhelmed by the thought of adopting an ERP solution. Whether the concern be costs, time, or IT resources, the perception is that the project is simply more than the company can afford. As a result, many small businesses continue to manually run operations in programs like Microsoft Excel, greatly increasing the potential for human error as they lack safeguards and compliance rules that can protect companies from incredibly costly mistakes.

Fortunately, advancements in technology have eliminated most of the issues that deter small businesses from looking into ERP solutions. Here are four big reasons why small businesses can, and should, adopt an ERP solution today:

Software as a Service (SaaS)

Companies have much more flexibility in regards to the ways they can utilize and access their ERP system. Software as a Service is a software delivery model that allows companies to purchase and use ERP software on a monthly subscription basis. This model allows users to access their system via the internet, eliminating the need for On-Premise servers and in-house IT professionals. Since the company hasn’t invested heavily in the project, they can easily jump ship at any time if they determine the costs aren’t worth it.

Affordability

On-Premise ERP solutions can require costly investments to implement and maintain. However, now that Software as a Service is an option, typical investment costs like IT personnel and infrastructure can be avoided. Data is hosted in the cloud, hardware and IT maintenance responsibilities are put in the hands of the service provider, and costs are brought down.

Faster Implementations

Getting up and running quickly is critical for the well-being of small businesses implementing an ERP system. Furthermore, quick and painless user adoption is a must for businesses that want to keep training costs down. Microsoft Dynamics GP is designed on a platform that is easy to implement, and bolsters a very intuitive interface that looks and acts like commonly-used Microsoft Office products. Users can quickly learn the functionality needed to utilize the software without having to go through months of training.

Ease-of-Customization and Extension

ERP solutions such as Microsoft Dynamics GP are designed with modern, open technology, built with the concept of customization and add-on applications in mind. Interfaces, roles, and processes can easily be tailored to a business, cutting down costs on customization time. Starter and Extended packages allow companies to save money by purchasing a package that meets their bare minimum of requirements without the added costs of unnecessary functionality.

A wide range of functionality can be added to Microsoft Dynamics GP by integrating it with relevant third party applications. This allows companies to pick and choose the functionality they require and build a custom system of solutions at an affordable price.

Good news for distributors and manufacturers, the Inventory Control module in Microsoft Dynamics GP2013 has been enhanced in a number of ways to give greater control over inventories and visibility. Microsoft has addressed numerous pain points faced by distributors and manufacturers when controlling inventory. Here are six of the most important enhancements that have been added to help companies manage inventory:

Inactivate Items-
• One of the most useful enhancements for inventory control is the ability to make items inactive. This prevents the sale and processing of the inactive item by either restricting the transaction or sending a warning. When looking up available items, the feature allows you to exclude inactive items, giving a real representation of items available to sell. Using this feature also allows you to maintain history on all of your items, including ones that are no longer in use.

Inactivate Sites-
• This allows distributors to prevent unused sites from being entered on any new transactions. The new feature allows the site to be made unusable without having to delete it, preserving the sites history for future reference. Existing transactions can still be posted to the site until the on-hand inventory is gone, allowing you to use the site right up until it’s ready to be deleted.

Inactivate Item-Site Relationships-
• This feature is handy when certain items are no longer stored at specific sites in the warehouse. By removing the possibility of entering the wrong item-site combination, you can ensure that all inventory items are stored in their proper places.

Reason Codes-
• Reason codes can now be created and entered onto a transaction to document inventory movement. A log is created that tracks the activity of inventory throughout the warehouse, uncovering trends and providing insights to tighten operations and increase efficiency.

Bin Transfer History-
• This is now simplified by adding a document number to Inventory Management that tracks the history of bin transfers for items. Order tracking is improved and a history of specific bin transfers can now be managed.

Assign suggested sales to an item-
• This feature allows the user to make relevant product recommendations based on the customer’s selection of a particular item. This enhances your sales team’s ability to identify numerous items to “upsell” to your clients.

With these new enhancements in Microsoft Dynamics GP 2013, distributors and manufacturers don’t have to struggle to keep up with the diverse demands of their business environment. Microsoft spends billions each year in research to improve their software and offer a complete package of tools to fully run businesses in various industries.

Microsoft Dynamics GP is a great tool to improve your company’s efficiency, but are you getting the most out of your system?  Perhaps your sales team is spending too much time entering documents when they could be generating sales.  Or maybe locating complete customer information is a challenge with your current data setup as you jump from window to window for a complete picture.  SalesPad can improve these and other functions in your business by enhancing the Microsoft Dynamics GP user experience for better sales results.

Here are four ways SalesPad transforms your Microsoft Dynamics GP user experience:

Simplify your document entry process.  Dynamics GP is a complex application.  SalesPad makes it simple.  Entering documents such as quotes, orders, invoices, and returns is made easy with SalesPad, so your team can spend less time typing, and more time serving your clients.

All-in-one view of your customers.  Many companies store vast amounts of customer information in their systems, but data is often dispersed throughout the software and can be a challenge to consolidate.  SalesPad makes it easy to get a 360 degree view of your customer so you can view all their relevant data on one screen.  Visible data can be fine-tuned to present only the information you need see, when you need to see it.

Inventory visibility.  Inventory management can be complex, especially when your system isn’t designed to present a complete view of your data.  SalesPad Inventory Lookup allows your company to leverage Dynamics GP’s sophisticated inventory storage capabilities by offering complete inventory access with just a few clicks.  View all aspects of your inventory on a single screen.  Save time.  Save money.

20/20 view of your business.  Easy-to-use tools like Workflow, Sales Analysis Reports, and the Purchase Advisor allow you to view your business in 1080 p high definition.  Know what is happening in the company every step of the way with complete visibility, no matter where you are.  SalesPad Mobile allows access to critical information from your smart phone or tablet, allowing you to take your business with you anywhere.

We recently held a Microsoft Dynamics GP User Group Meeting in St. Louis, MO.  Our feature speakers were the owners from Reporting-Central.  One of their products that caught my attention was “The Validator”.  This product helps Dynamics GP users eliminate manual validation and reconciliation processes to make Microsoft Dynamics GP a better business solution by continuously monitoring critical areas of their solution.  Also, another major takeaway that I think many current users of Microsoft Dynamics GP would find very interesting are the most commonly overlooked Set-Up and On-Going Use issues in Dynamics GP.  Here is a small list that Reporting-Central shared with us.

User Security Set To POWERUSER

Future Fiscal Periods Open

Maximum Account Length set too low

Posting Not Set To Create Journal Entry Per Transaction

Dex Lock

Interrupted Batch

Stuck Process

Account Maintenance Allows Account Entry on Control Account

Account Posting Level Set To Summary

Maintain Account History Not Checked

Retained Earnings Category Not Set to 27

Checkbook Allows Duplicate Check Numbers

Customer Accounts Receivable Control Account empty

Maintenance Customer Missing Salesperson

Maintenance Customer Missing Tax Schedule

Vendor 1099 Box Checked With No Tax Id

Old Open Purchase Orders

These are just a small sample of the issues that Reporting-Central’s software can monitor and alert Microsoft Dynamics GP users.  If you have additional questions or would like to learn more about how “The Validator” could help your Microsoft Dynamics GP investment, please give me a call today at 636-237-2280 or send me an email at mramatowski@turnkeytec.com .

“What isn’t tried won’t work.” – Claude McDonald

Has your Microsoft Dynamics GP General Ledger Cash Account Balance not matched your Bank Reconciliation Checkbook Balance before and you weren’t sure where to look?

Here are 4 common reasons why they might not add up and things you might want to try for a solution to this problem.

Unposted batches in the General Ledger. There are some transactions (e.g. Payables Management Computer Checks) that post to both the Bank Reconciliation and the General Ledger. When these items are posted in their originating module, they automatically post in Bank Reconciliation affecting the balance; HOWEVER, depending on how you have your posting options setup, they may sit in an unposted batch in the General Ledger. This is easy to solve: Simply post your batches in the General Ledger.

Deposits haven’t been created in the General Ledger. This is a similar scenario to the previous reason, but somewhat in reverse. When payments received are entered in Receivables Management, Sales Order Processing and as receipts in Bank Reconciliation, they are sent directly to the General Ledger but placed in a holding spot to be entered on a deposit. Why? For easier bank balancing (and easier bank transactions analysis). Deposits in the Bank Reconciliation module should match the actual deposits with the bank. However, the General Ledger module may need to be setup to show the detail of receipts or set to “summary” depending upon your needs or desires. The solution: Check your Bank Deposit Entry window for any receipts not deposited.

Coding Error: You should never manually enter the Cash GL account. It will always default automatically when the Checkbook ID is referenced.

  1. A General Ledger journal entry was coded to the GL Cash account. If you are using Bank Reconciliation, this is a BIG NO NO!
  2. A Distribution Entry for a non-GL module was coded to the Cash GL account for a line other than CASH for the Distribution Type. Also a BIG NO NO!

Date Error: Document dates and the GL posting date span different fiscal periods.
To find errors, pull up the Checkbook Balance Inquiry and compare to the General Ledger Trial Balance for the same date range.

I hope you find these 4 reasons useful and my tips helpful.  I also invite you to download an upbeat and engaging new white paper, “25 Brilliant Ideas to Outsmart Your Competition with Microsoft Dynamics ERP”.  This report includes 25 examples from real companies – from non-profits to distributors and many in between.

“It is impossible to win the great prizes of life without running risks.” – Theodore Roosevelt

Deciding whether to upgrade or replace your current Accounting/ERP Software solution can be a difficult decision.  In most cases, “cost” is a major concern.  Microsoft Dynamics GP Software licenses are an important component in your investment, but licensing is only one portion of the cost of a system.

Other factors to look at are the costs of deployment, data conversion, implementation, third party software, training and ongoing support

Some of the questions you might ask your potential vendor might be:

  • What is your implementation methodology?  How can you assure me that all costs are being considered and included?
  • What Independent Software Vendors (ISVs) are included as part of the overall solution?  What are the initial and ongoing costs associated with these vendors?
  • What options to I have regarding data conversion – how much historical data should be converted?  Can my team convert the data or will the vendor team?
  • What costs may be associated with reporting?
  • What costs are associated with training?
  • Can you tell me more about your ongoing support and maintenance plans?

These are just a few questions that must be addressed.  For more guidance on questions to ask before buying ERP/Accounting Software,  check out this white paper “30 Questions Every CFO Must Ask About the Cost of Accounting Software”.

“The reality is that changes are coming…. They must come. You must share in bringing them.” – John Hersey

Stephen R. Covey, author of the bestselling self-help book “The 7 Habits of Highly Effective People” recently passed away this July.   This book has sold over 20 million copies since being released and has made me a fan of his work for years.  In my first blog post, I looked at the Habits of “Be Proactive”, “Begin with the End in Mind” and “Put First Things First”.  Today, I’m going to look at the other four habits and show how Microsoft Dynamics GP can help solidify them in your organization.

Think Win/Win – This habit has five interdependent dimensions of life which are: Character, Relationships, Agreements, Supportive Systems and Processes.  Microsoft Dynamics GP has the business tools like Dashboards, Key Performance Indicators (KPIs), and Real-Time Drill Down Reports to help your managers monitor your employees service levels better to make sure you’re meeting your commitments to your customers at acceptable levels for Win/Win to exist.

Seek First to Understand, Then to Be Understood – If you’re going to understand your employees, customers and suppliers, better empathic listening is the key.  This means that not only do you hear and understand the words but also listen with the eyes and hearts as well.  Microsoft Dynamics GP can help sales, service and business management staff members communicate and collaborate better through built-in integration with Microsoft Dynamics CRM and built-in workflows.

Synergize – Stephen Covey talked about the principles of creative communication where you are completely open to new possibilities in your organization because of real, authentic conversations with each other.  You get a 360 degrees view of the issues, problems and opportunities because of these insights.  Microsoft Dynamics GP strengthens these conversations with real-time access to business information at your fingertips.

Sharpen the Saw – Each person/employee takes ownership of their personal development and the quality of service they give to their organization. It also means improving on their four dimensions of their nature (physical, spiritual, mental and social/emotional) regularly and consistently in wise and balanced ways.  Microsoft Dynamics GP Human Resource Management can help with the training, health and wellness of your employees.

In summary, Microsoft Dynamics GP can help your organization live these habits daily.  To learn more about Microsoft Dynamics GP, please go to our website www.turnkeytec.com or give me a call.
